Terms and Conditions
Our Terms and Conditions contains the important information necessary for individuals interested in booking trekking, expedition and travel trips with Satori Adventures and Expeditions. The Terms and Conditions section contains the information to the client regarding the procedures of Booking Confirmation, Payment & Refund System, Cancellation and Other Charges levied as per policy. We highly recommend that you read and understand it carefully before declaration of booking any packages. The Booking Terms and Conditions constitutes a legally required contract between Satori Adventures and Expeditions and the party for the services to be provided by us and sets out the basis of your legal relationship with our company, of which the details are listed below:
1. Bookings and Payments
To complete a Booking you must send us a completed Booking Application Form, with a deposit of 25% of the trekking/hiking/tour cost and 15% of the peak climbing/expedition cost. This will constitute acceptance by you of these Terms and Conditions. You need to submit a copy of your passport to our office via email and may be asked to provide two passport size photographs, depending on the destination. The remaining payment will be due 30 days prior to leaving on the trip or expedition. Deposits are not refundable.
2. Cancellation Policy
A Notice of cancellation shall be send by client in writing and refund procedure will be made as follows:
Cancellation rule for trips:
- Cancellation before 60 days of the trip, 20% cancellation will be charged, plus any costs.
- Cancellation within 30 days of the trip 40% cancellation will be charged, plus any costs.
- Cancellation within 15 days of the trip 60% cancellation will be charged, plus any costs.
- Cancellation within 7 days no refund shall be provided.
Satori Adventures and Expeditions goal is to provide the best possible trip and we aim to perform our duties honestly and seriously to make your experience smooth and pleasant. However, we will not take any responsibility regarding changes and alternations in the itinerary due to unavoidable circumstances such as landslides, road blockages, floods, snow, political-unrest, cancellation of flights, delay arrival, sickness, natural disasters, acts of terrorism or accidents. Any extra cost incurred thereof shall be borne by the clients on the spot. All clients are advised to take out their own travel insurance to adequately cover against medical and personal accident risk.
Satori Adventures and Expeditions while undertaking tours, transportation, hotel accommodation and other services only acts as an agent on the clear understanding that it shall not be, in any way, responsible or liable for any accident, damages, loss, delay, international flight cancellation/delays, or inconvenience caused in connection with the travel facilities arranged by the company, its employees or agents. All bookings are accepted and executed with utmost care, yet no responsibility is undertaken for any change or deviation because of factors beyond our control.
4. Assumption of risk
The traveler/trekker understands that during the course of the trip, certain risks and dangers may occur, including, but not limited to, the hazards of traveling in mountainous terrain, accident or illness in remote places without medical facilities, and the forces of nature. The traveler/trekker agrees to assume all risks associated with the journey, and agrees that no liability will be attached to the company or its outfitters, employees or agents, or to any member of the tour group in respect to death, personal injury, illness or delay of traveler/trekker, or for any loss or damage to the property of the traveler/trekker during the course of the trip, however caused.
5. Travel Insurance
It is a highly advisable that while booking treks and tours with us that travelers/trekkers must be protected by insurance themselves that covers cancellation, accidents, health, emergency evacuation, and loss of items, theft of or damage to baggage and personal effects. Some countries like Nepal require travel insurance to be added to a climbing permit.
All costs for emergency evacuation must be paid in cash in some countries unless an insurance company has agreed to pay the costs on your behalf. It is important that any insurance policy issued to cover emergency evacuation for trek/tour does not exclude mountaineering.
A legal guardian must accompany all travelers under the age of sixteen. If you have a question regarding age and suitability, please contact us for further information.
You agree that Satori Adventures and Expeditions may use images, (Photographs) and or video of you, taken during the trip without recourse and and without compensation to you, for publicity and promotional purposes only, through whatever medium it chooses.
In order to collect information from you to making a booking through our Company we ask many questions to obtain the necessary permits etc. No private or personal information that you supply to us when making a booking will be disclosed for any other purposes.
If you have any concerns or complaints about the trip, you must inform the tour leader or guide at the earliest opportunity to allow them to correct the situation. Any other complaints can be made to us via email or telephone.
10. Supplement Charge
On our trekking and tour packages, rooms or tents are provided in twin sharing basis. Single room supplement charges will be imposed to clients who do not have another tour participant to share room / tent with.
11. Amendment of tour cost
We reserve the right to revise the pricing rates posted on our website, under such circumstances that are deemed necessary, or for reasons out of our control, for example, changes in exchange rates, governmental actions, permit fees etc.
12. Unforeseen Circumstances
If Satori Adventures and Expeditions cancels your trip due to unforeseen circumstances like war, natural disasters, conflict, unfavorable climate etc., we would be happy to refer you to an alternative trip of a similar standard. If this does not fit your personal interest, all monies paid by you to our company will be refunded, minus costs. However, any other expenses incurred by you because of this booking are entirely your responsibility.
13. Client is Responsible
A tour/trek guide who represents Satori Adventures and Expeditions will have full authority during your trip. The guide will make decisions about the trip based upon your safety and the safety of the group. If you commit any unlawful act, you are compelled to leave the tour immediately and no refund will be made in such a case. An unlawful act is defined as anything that would be deemed illegal in the United States of America.
14. Impact on Your Journey
We put fourth every effort to ensure you are comfortable during the trip, but many of these locations will not have the same amenities as the western world or other affluent countries. Weather is another factor that may directly affects your trip, therefore we ask for your patience in such matters.
